MIAMI FRIENDORS
TERMS AND CONDITIONS
🔹 1. GENERAL POLICIES
Application & Acceptance
- 
Applications do not guarantee a space at any event.
 - 
Exclusivity is not guaranteed, but efforts will be made to avoid oversaturation of similar products.
 - 
Vendors will be notified if accepted and must submit payment within 24 hours. An additional 24-hour grace period may be granted. After 48 hours, unpaid spots will be reopened to other vendors.
 
Payments
- 
All payments are non-refundable, non-transferable, and non-creditable under any circumstances.
 - 
By submitting payment, vendors agree to all terms listed herein.
 
Sales & Licensing Responsibility
- 
Vendors are responsible for complying with all local, county, and state regulations. This includes proper business licenses, permits, and sales tax documentation.
 - 
Miami Friendors is not responsible for verifying vendor compliance or handling any legal matters related to vendor business operations.
 
Code of Conduct
- 
All vendors are expected to maintain a respectful, professional, and inclusive environment.
 - 
Harassment, discrimination, aggressive selling, or any inappropriate conduct may result in immediate removal without refund and disqualification from future events.
 
🔹 2. EVENT OPERATIONS
Setup & Breakdown
- 
Vendors must be present and fully set up by the time listed in the acceptance email. Early breakdown is not permitted.
 - 
Vendors are required to stay for the entire duration of the event. Early departure may result in suspension from future markets.
 
Vendor Check-in & Spot Assignment
- 
All vendors must check in with a Miami Friendors representative before setting up.
 - 
No tent or display may be erected prior to check-in and space assignment.
 - 
Violations will result in immediate removal from the event without refund and potential disqualification from future events.
 - 
Spots are assigned by Miami Friendors staff. No spot saving is allowed.
 
Property & Liability
- 
Vendors must bring all necessary equipment, including tents, tables, chairs, and extension cords.
 - 
Tents must be properly weighted to ensure safety.
 - 
Vendors are responsible for any damage caused by their setup to the venue, other vendors, or attendees.
 - 
Miami Friendors and venues are not responsible for lost, stolen, or damaged items.
 
🔹 3. WEATHER POLICY
Standard Rain or Shine Policy
- 
All events are Rain or Shine unless officially canceled by Miami Friendors or the venue.
 - 
Refunds, credits, or rollovers are not provided for absences due to inclement weather, illness, scheduling conflicts, or emergencies.
 
Severe Weather Exception (Zoo Miami, West Miami, and Village Art Plaza Events Only)
- 
For Miami Friendors' markets Only: if a vendor determines that the weather is severe or unsafe, they may email hello@miamifriendors.com at least 24 hours before the event start time for a one-time transfer to another date within 30 days at the same market.
 - 
This does not apply to general markets or other venues.
 - 
No-shows or late communication will result in forfeiture of vendor fees.
 - 
For Village Art Plaza, when weather shows unfavorable, the market will be moved to inside the gymnasium.
 
🔹 4. CANCELLATIONS & REFUNDS
General Policy
- 
All fees are non-refundable, including vendor cancellations for any reason.
 - 
Day-of cancellations or no-shows without communication may result in disqualification from future events.
 
Emergency Exceptions
- 
If a vendor must cancel at least three days prior due to an emergency, they may request a rollover by submitting official documentation, such as a medical note or accident report.
 
🔹 5. MARKET FORMATS
Standard Markets
- 
Vendor requirements, hours, and rules will be shared via acceptance email and market-specific details.
 
$25 Market Events
- 
These are small-format events featuring 1 to 5 vendors.
 - 
Hosted at a variety of venues including breweries, restaurants, hotels, commercial buildings, and more.
 - 
Vendors are responsible for researching the venue and surrounding area to ensure brand alignment.
 - 
Miami Friendors does not guarantee foot traffic and does not promote $25 Markets — marketing is primarily the vendor's and/or venue's responsibility.
 - 
These markets are designed for low-cost brand exposure and audience testing.
 
Zoo Miami Markets
- 
No CBD, food, dessert, or beverage vendors allowed.
 - 
No plastic or Styrofoam packaging permitted. Vendors not compliant will be turned away.
 - 
Electricity is not provided.
 - 
Setup is from 8:00–9:40 AM. Market runs from 10:00 AM to 5:00 PM. All vendors must vacate by 6:00 PM.
 - 
All vendor booths must be clean upon departure.
 - 
Zoo markets are rain or shine, and vendor fees are non-refundable.
 - 
One-time date transfers within 30 days due to severe weather are only allowed if 24-hour notice is provided by email (see Weather Policy above).
 
🔹 6. BRANDING & PROMOTION
Media Release
- 
By participating, vendors grant Miami Friendors permission to use photos, video, logos, or promotional materials from the event for marketing and advertising purposes.
 
Social Media Tagging
- 
Vendors are encouraged to tag @MiamiFriendors on Instagram, TikTok, Facebook, and other platforms before, during, and after the event.
 - 
We may reshare tagged posts to boost visibility and support your brand.
